This Privacy Policy has been prepared by NewKnow Inc. and sets out the manner in which NewKnow collects, uses, discloses, and otherwise manages personal information to provide our cloud-based retail and sales training communication service, including information collected through our website located at, the NewKnow mobile application, and through other interactions with our users (collectively, our “Services”).

Businesses (“Employers”) subscribe and pay for the Services. Employers must register an Employer account, and will then be able to invite their employees (“Team Members”) to register with NewKnow, and manage and train their Team Members using our Services. Employers may assign certain permissions to Team Members, such as administrative or managerial permissions, which are respectively referred to as “Admins” and “Managers” within the Services. For the purpose of this Privacy Policy “you” refers to Team Members, which includes Admins and Managers.

Collection and Use of Personal Information

We may collect and use personal information when you:
     - Receive an Invitation;
     - Register an Account; 
     - Create a Profile;  
     - Opt to receive push notifications; 
     - Contact us with a comment, question, or complaint. 
     - Use our Services.

Receiving an Invitation: Employers, or your Employer’s Admins and Managers, may invite you or other Team Members to join NewKnow by submitting the name and email address of the recipient. Your cell phone number may also be used to send you such an invitation via SMS text message. We do not use the names, email addresses, or cell phone numbers submitted in these circumstance for any other purpose until you register your account. Your Employer is responsible for informing you about NewKnow, and for obtaining any necessary consent from you before submitting your contact information to invite you to register with NewKnow.

Registration: Once you receive an invitation to join NewKnow, you will be required to provide your first and last name, email address, Employer name, language preference, and a password that you select to create your account. Once you have created your account, your Employer will be able to assign training modules for you to complete called “newknows”. Your completion of newknows, including your performance with respect to any training exercises contained in the newknows, may be monitored by your Employer, as well as your Employer’s Managers and Admins.

Creating a Profile: Once you have registered an account, you may choose to add information to your profile such as uploading a photo. Your Employer, and your Employer’s Admins and Managers may also add a department, job location and/or job title to your profile. You may also use your profile to update your language preference and other account information. Your profile information is used to provide and administer the Services. Any photo you choose to upload to your profile, as well as your name, department, job location, and/or job title is made public to your Employer and all your Team Members.

Direct Messaging, Push Notifications, and Other Communications: Your Employer, Admins, and Managers have access to your contact information so that they may assign newknows to you, and send you updates and other communications. Your Employer and Team Members are also able to communicate directly with you through the direct-messaging feature we make available in our Services. With your consent, we will send you push notifications any time you receive such communications from your Employer or your Team Members within our Services, which you may turn off at any time in the settings of your mobile device. We do not collect or use any of your information in connection with such communications, other than to notify you of such communications on your mobile device or to send you communications at the direction of your Employer, Admins, and Managers.

Customer Service: When you contact us with a comment, question or complaint, you may be asked for information that identifies you (such as your name, address, and a phone number) along with additional information we need to help us promptly answer your question or respond to your comment or complaint. We may also retain this information to assist you in the future and to improve our customer service and service offerings.

Using our Services: When you use our Services, we and our third-party providers, including Google Analytics, collect your IP (Internet protocol) address, language settings, type of device hardware and unique device identifier (when using our Services from a mobile device), and other related information such as page requests, browser type, operating system and version, and average time spent using our Services. We use this information to help us understand the activity on our Services, and to monitor and improve our Services.

Sharing of Personal Information

We will not disclose, trade, rent, sell or otherwise transfer your personal information, without your consent, except as set out in this Privacy Policy. We share certain of your personal information with your Employer or other Team Members in order to provide you with the Services. We may also share personal information in the circumstances described below.

Service Providers: We may transfer (or otherwise make available) your personal information to third parties who provide services on our behalf.  For example, we may use service providers to send our emails or texts; host our website; operate certain of its features; provide customer service on our behalf; and track the time spent on our Services, the number of Team Members associated with an Employer account for billing purposes, and other information in connection with the use of our Services. Your personal information may be maintained and processed by third-party service providers in the US or other jurisdictions. Our service providers are given the information they need to perform their designated functions, and we do not authorize them to use or disclose personal information for their own marketing or other purposes.

Business Transactions: We may transfer any information we have about you as an asset in connection with a proposed or completed merger or sale (including transfers made as part of insolvency or bankruptcy proceedings) involving all or part of NewKnow or as part of a corporate reorganization or other change in corporate control.

Legal Requirements: NewKnow and our Canadian, US, and other service providers may provide your personal information in response to a search warrant or other legally valid inquiry or order, or to an organization in the case of a breach of an agreement or contravention of law, or as otherwise required or permitted by applicable Canadian, US, or other law. We may also disclose personal information where necessary for the establishment, exercise or defence of legal claims; to detect, suppress, or prevent fraud; and to investigate or prevent actual or suspected loss or harm to persons or property.


We have implemented reasonable administrative, technical, and physical safeguards in an effort to protect against unauthorized access, use, modification, and disclosure of personal information in our custody and control. We restrict access to personal information on a need-to-know basis to our personnel and authorized service providers who require access to fulfill their designated functions.

Access & Correction

You may access, update, and correct inaccuracies in your personal information in our custody or control at any time, subject to limited exceptions prescribed by law. You may also remove certain information or content you have posted to our Services. Simply log into your account, go to your account profile, and make the necessary changes. You can request access, corrections, or updates to all personal information, including information not available through your account profile, or request removal of certain information or content you have posted by contacting us as set out in the Contact Us section below. We may request certain personal information for the purpose of verifying the identity of the individual seeking access to their personal information records. When we honor a removal request, our actions may not ensure complete or comprehensive removal of the posted content or information.

Cookies and Additional Information about our Services

Cookies: Our Services use a technology called “cookies”. A cookie is a tiny element of data that our Services can send to your browser, which may then be stored on your hard drive or mobile device so we can recognize you when you return. We use cookies on the pages on our Services where you are prompted to log in or that are customizable. If you have registered with our Services, these cookies (1) may let us know who you are, and (2) may be necessary to access your account information (stored on our computers) in order to provide personalized services. You may set your browser to notify you when you receive a cookie or to not accept certain cookies. However, if you decide not to accept cookies from our Services, you may not be able to take advantage of all of the features of our Services.

Tracer Tags & Web Beacons: Our Services may also use a technology called “tracer tags” or “Web Beacons”. This technology allows us to understand which features you use on our Services. These tracer tags are used to help us optimize and tailor our Services for you and other future users of our Services .

Links to Other Websites or Mobile Applications: Our Services may contain links to other websites or applications that NewKnow does not own or operate, including of third parties. For example, we allow our users to include links to third party content in their newknows, and we allow your Employer to share newknows from other businesses with you. Except as provided herein, we will not provide any of your personal information to these third parties without your consent. We provide links to third party websites or applications as a convenience to the user. These links are not intended as an endorsement of or referral to the linked websites or applications. The linked websites or applications have separate and independent privacy statements, notices and terms of use, which we recommend you read carefully. We do not have any control over such websites and applications, and therefore we have no responsibility or liability for the manner in which the organizations that operate such linked websites or applications may collect, use or disclose, secure and otherwise treat your personal information.

Changes to Our Privacy Policy

This Privacy Policy may be updated periodically to reflect changes to our personal information practices. The revised Privacy Policy will be posted on our website and in our mobile application. We strongly encourage you to refer to this Privacy Policy often for the latest information about our personal information practices.
